1. The exhibition and exact destination

Record the exhibition name, city, venue, hall and booth for the specific edition. For events using multiple venues, identify the actual destination venue. If the receiving warehouse and booth are at different locations, enter them separately.

2. Cargo and packaging

Prepare the package count, packed length, width and height of each item, weight and packaging type. Add photographs and notes for fragile or extra-long exhibits, items with unusual centres of gravity, or cargo that requires handling equipment. Total shipment weight cannot replace information about individual items.

3. Origin and timing requirements

Confirm the collection point, available loading conditions, when the cargo will be ready and the latest time it is needed on site. Mark any details not yet confirmed by the relevant venue notices as pending.

4. Services you need Perlon to coordinate

Specify road transport, pre-show warehousing, local transfers, unloading, handling inside the venue, empty-crate storage, packaging and post-show return transport separately. Do not assume that additional services are included if they have not been stated.

5. Handover contacts and records

Appoint contacts at origin and destination, and confirm who will inspect the packaging, check package counts and record the handover. Provide information through approved business channels. Do not leave personal information in public comments or on public web pages.

6. Where the cargo goes after the show

Will the exhibits return to origin, move to the next exhibition or be delivered to a customer? Confirming destinations and packaging arrangements early allows move-out requirements to be included when the service plan is agreed.
